Full-Text Search
Overview
Full-text search lets you quickly find content by searching for keywords in content titles and descriptions.
Basic Search Operations
1. Accessing the Search Box
Location: Header at the top of the screen
The search box is always visible and accessible from any page.
Steps:
1. Click the search box at the top of the screen
2. Enter your keywords
3. Press Enter or click the search button
2. Entering Search Keywords
Basic search:
Example: Enter "React"
-> Shows content with "React" in the title or description
Multi-keyword search:
Example: Enter "React TypeScript"
-> Shows content containing both keywords (AND search)
Search Targets
Full-text search covers the following fields:
Searchable Fields
- Title: The content title
- Description: The content summary/description
Note: Titles and descriptions are the primary search targets and are weighted more heavily. Body text from pages and slides is also searched as additional results — matches in body text add more content to the results rather than filtering them.
Search Techniques
1. Choosing the Right Keywords
Effective keywords:
- Use specific, distinctive words
- Avoid overly generic terms
Examples:
Not ideal: "data"
-> Too many results
Better: "sales data 2024"
-> More specific and focused
2. Using Multiple Keywords
AND search:
Entering multiple keywords separated by spaces finds content containing all of them.
Example: "project management table"
-> Content containing "project management" AND "table"
Tips:
- 2-3 keywords is optimal
- Too many keywords may return few or no results
3. Sorting Search Results
Search results can be sorted in the following order:
-
By relevance (default)
- Ranked by relevance to your search keywords
-
Newest first
- Most recently created content first
-
Oldest first
- Oldest content first
How to sort:
Select from the "Sort" menu in the top-right of the search results screen

Combining with Filters
Narrowing Results with Filters
You can further refine search results by combining keywords with filters.
Steps:
1. Search by keyword
2. Apply filters on the results screen
- Content type
- Visibility
- Author
- Created date
3. Refined results are displayed
Example:
Search: "task management"
Filter: Content type = Table
Result: Only tables related to task management are shown
Search Best Practices
1. Gradual Refinement
Recommended approach:
Step 1: Search with a broad keyword
Example: "project"
Step 2: Review the results
Step 3: If too many results, add more keywords
Example: "project task management"
Step 4: Further narrow down with filters
Example: Content type = Table
2. Keeping Track of Keywords
Tip:
Note down search keywords you use frequently for quick reference.
Example: Search patterns for project management
- "task incomplete"
- "progress weekly report"
- "issue solution"
3. Content Creation Tips
To make your content easier to find:
Keep the following in mind when creating content:
-
Include important keywords in the title
Not ideal: "Q1 2024 Report" Better: "Sales Analysis Report 2024 Q1" -
Write specific descriptions
Not ideal: "Project documents" Better: "Task management table for the e-commerce site redesign project. Records work items from April through June 2024."
